We know policies are not the most exciting part of visiting J4rming, but they matter. This page explains how ordering, delivery, returns, privacy and use of our website work.

These policies apply when customers purchase goods directly from www.j4rming.co.uk.

We may also sell through third-party marketplaces, including eBay and Vinted. Purchases made through a marketplace are additionally governed by that marketplace’s terms, checkout process, delivery arrangements and returns procedure.

Where a marketplace provides a process for reporting a problem, cancelling an order or requesting a return, customers should normally begin through their order page or account on that marketplace. If there is any conflict between these policies and a marketplace rule that applies to the transaction, the applicable marketplace rule will take precedence, except that nothing will reduce a customer’s statutory rights.

The sections concerning product quality, second-life goods, intellectual property and privacy may also apply where relevant to our marketplace activity.

These policies do not apply to occasional private sales of our own personal possessions that are genuinely sold outside the course of business. Different legal rules may apply to those transactions.

Shipping
 

Where we deliver

We currently deliver to addresses within the United Kingdom only.

We do not currently accept orders for delivery to the European Union or elsewhere internationally. We hope to introduce international delivery in the future, once we can do so properly and comply with the relevant customs, tax, product-safety and consumer requirements.

Any delivery areas available at checkout will be treated as the areas to which we currently deliver.


Processing and dispatch

For products that are in stock, we aim to dispatch orders within two to three working days after the order has been accepted and payment has been received.

Working days are Monday to Friday, excluding bank holidays in England.

This is a dispatch estimate rather than a guaranteed delivery date. Delivery time begins after dispatch and will depend on the delivery service selected or stated at checkout.

J4rming is a small, independently run business. Occasionally, dispatch may take longer because of illness, including periods when chronic illness affects our capacity, or because of circumstances outside our reasonable control. If a significant delay affects an order that has already been accepted, we will contact the customer as soon as reasonably possible.

Unless a different delivery period has been expressly agreed, goods will be delivered without undue delay and no later than 30 days after the contract is made. If we cannot meet an agreed delivery deadline, the customer may have rights to cancel the order under applicable consumer law.


Holiday mode

We may temporarily place the shop into holiday mode when we are unavailable or need time to rest, recover or catch up.

While holiday mode is active, new orders may be paused or the displayed processing time may be extended. Holiday mode will not remove our responsibility for orders we have already accepted. Where an existing order is affected, we will contact the customer and explain the available options.


Delivery charges

Delivery charges are shown during checkout before an order is placed.

The customer is responsible for providing a complete and accurate delivery address. If an order is returned to us because the address supplied was incorrect or incomplete, we may ask the customer to pay the reasonable cost of sending it again.
 

Packaging

We take care to package every order securely and appropriately.

Wherever practical, we use recycled, recyclable or lower-impact packaging. This means an order may occasionally arrive in clean, previously used outer packaging. Reusing suitable packaging helps us reduce unnecessary waste and is part of how J4rming operates.

Although we package items carefully, damage can occasionally occur during delivery. Please contact us promptly if an order arrives damaged.

Candles and hot-weather delivery

Candles and wax products are sensitive to heat. During periods of unusually warm weather, we may delay dispatch where we reasonably believe that sending an order immediately would create a significant risk of the product melting, softening or becoming damaged in transit.

If a weather-related delay is likely to materially affect an accepted order, we will contact the customer as soon as reasonably possible. We will provide an updated dispatch estimate and, where appropriate, the option to continue waiting or cancel the affected order for a full refund.

We will continue to comply with any agreed delivery date and applicable consumer law, including the requirement to deliver within 30 days unless a different period has been expressly agreed.

Customers should use the tracking information provided and, wherever possible, avoid leaving a candle parcel outside, in direct sunlight, inside a vehicle or in another hot location after delivery.

If a candle arrives melted, leaking, cracked or otherwise damaged, do not light or use it. Photograph the candle and its packaging and contact us promptly through our contact form. The customer’s statutory rights are not affected.Warm wax can soften, sweat or shift slightly. If a candle arrives unusually warm, place it upright on a flat, heat-resistant surface in a cool room and allow it to return naturally to room temperature before opening it fully, moving the wick or lighting it. Do not place it in a freezer, as sudden temperature changes may damage the wax or container.


Delivery problems

If an order appears to be delayed, lost or damaged in transit, please contact us through our contact form and provide:

  • Your name;

  • Your order number;

  • The delivery address; and

  • A brief description of the problem, with photographs where the item or packaging is damaged.

We may need reasonable time to check tracking information or raise an enquiry with the delivery provider. This does not affect the customer’s statutory rights.

 

Cancellations, Returns and Refunds

 

Changing your mind

For most goods bought online, UK consumers have a legal right to change their mind.

To cancel an eligible order, the customer must tell us clearly that they wish to cancel within 14 days beginning the day after the goods are delivered. No reason is required.

After notifying us, the customer must return the goods within a further 14 days.

To request a cancellation or return, please use our contact form. Include your name, order number and the item or items being returned. You do not have to provide a reason when exercising an eligible statutory right to cancel.

Condition of returned goods

Customers may inspect and handle an item to the same extent that they reasonably could in a physical shop.

Returned goods should be kept safe and, where reasonably possible, returned with their original packaging, labels, accessories and any components supplied with them. Original packaging is preferred but is not an absolute condition of exercising a statutory right to cancel.

Customers are responsible for taking reasonable care of goods while they are in their possession and when packaging them for return.

We may reduce a refund to reflect any loss in the item’s value where it has been handled beyond what was reasonably necessary to establish its nature, characteristics and functioning. Any reduction will reflect the actual loss in value and will not be used as an automatic handling or restocking fee.

This does not affect the customer’s statutory rights where an item is faulty, damaged, unsafe, incorrect or materially not as described.

Return postage

Where a customer changes their mind, the customer is responsible for the direct cost of returning the goods, unless we have agreed otherwise.

We recommend obtaining proof of postage and using a suitable tracked or insured service, particularly for valuable or fragile items. The goods remain the customer’s responsibility until they are received by us.

If an item is faulty, damaged on arrival, materially not as described or incorrect, we will pay or reimburse reasonable return-postage costs where a return is required.

We will provide the return address after the return request has been accepted. Please do not send returns without contacting us first.

Refund timing and delivery charges

For an eligible change-of-mind cancellation, we will refund:

  • The price paid for the returned goods; and

  • The cost of our least expensive standard delivery option, where a delivery charge was paid.

If the customer selected a more expensive delivery method, we are not required to refund the additional amount above the cost of standard delivery.

We will make the refund without undue delay and no later than 14 days after receiving the returned goods, or after the customer provides satisfactory evidence that the goods have been sent back, whichever happens first.

Refunds will normally be made to the original payment method unless expressly agreed otherwise.

 

Damaged, faulty, incorrect or misdescribed goods

Goods must be of satisfactory quality, fit for their intended purpose and as described.

Please contact us as soon as possible if an item:

  • Arrives damaged;

  • Is faulty;

  • Is materially different from its description; or

  • Is not the item ordered.

Please include the order number and, where useful, clear photographs showing the problem.

Depending on the circumstances and the customer’s statutory rights, we may offer a refund, repair or replacement. Nothing in this policy limits or excludes any rights available under the Consumer Rights Act 2015 or other applicable consumer law.

If a candle arrives melted, leaking, cracked or otherwise damaged, do not light or use it. Photograph the candle and its packaging and contact us promptly through our contact form. The customer’s statutory rights are not affected.

Second-life and vintage items

Some J4rming products are vintage, pre-owned, repurposed or second-life finds.

Signs of age, previous use, variation, patina or minor imperfections may form part of an item’s character. We will make reasonable efforts to describe and photograph material marks, wear or defects before purchase.

A characteristic that was clearly described or shown before purchase will not normally make the item faulty merely because it reflects the item’s disclosed age or condition. This does not affect the customer’s rights where an item is materially not as described.

Items that cannot normally be returned for a change of mind

The statutory right to cancel may not apply to certain goods, including:

  • Goods made to the customer’s specifications or clearly personalised;

  • Goods liable to deteriorate or expire rapidly;

  • Sealed goods that are not suitable for return for health-protection or hygiene reasons once unsealed; and

  • Other goods excluded by applicable consumer legislation.

An exclusion from change-of-mind returns does not remove a customer’s rights where goods are faulty, damaged or not as described.
 

Exchanges

Because many J4rming finds are one-off items, a direct replacement may not be available.

Where possible, we may agree to an exchange. Otherwise, an eligible return will be refunded and the customer may place a separate order for another available item.

Orders damaged after delivery

We are not responsible for damage caused by misuse, neglect, accidental damage after delivery, unsuitable storage, ordinary wear and tear, or repairs or alterations attempted by the customer or another person.

This does not limit any statutory rights relating to a fault that existed when the goods were supplied.

Who is responsible for your information?

For UK data-protection purposes, Jazz trading as J4rming, is the data controller responsible for the personal information described in this policy.

Information we collect

Depending on how someone uses J4rming, we may collect:

  • Names and contact details;

  • Billing and delivery information;

  • Order, payment-status, refund and transaction information;

  • Messages, enquiries and customer-service correspondence;

  • Newsletter preferences and consent records;

  • Website usage, device, browser, cookie and approximate location information;

  • Competition, survey or promotion responses, where applicable; and

  • Any other information a person chooses to provide to us.

Payment-card information is processed by our payment providers. We do not intentionally store complete payment-card details ourselves.
 

Why we use personal information

We may use personal information to:

  • Process, fulfil, deliver and manage orders;

  • Take payment and issue refunds;

  • Communicate about purchases, deliveries, returns and enquiries;

  • Prevent fraud, misuse and security incidents;

  • Maintain business, accounting and tax records;

  • Operate, protect and improve our website and services;

  • Understand how visitors use our website;

  • Meet our legal and regulatory responsibilities;

  • Establish, exercise or defend legal claims; and

  • Send J4rming Letters or other marketing where the recipient has consented, or where another lawful basis and the electronic-marketing rules permit it.

Our lawful bases

Depending on the circumstances, we process personal information because:

  • It is necessary to perform a contract or take steps requested before entering into a contract;

  • We must comply with a legal obligation;

  • It is necessary for our legitimate interests, such as operating and protecting the business, improving our services and preventing fraud, provided those interests are not overridden by the individual’s rights; or

  • The individual has given consent, including where consent is required for email marketing or non-essential cookies.

Where processing relies on consent, that consent may be withdrawn at any time.

 

Marketing and J4rming Letters

Signing up for J4rming Letters is optional and is not a condition of making a purchase.

Marketing emails will identify J4rming and contain a way to unsubscribe. Subscribers can withdraw consent at any time by using the unsubscribe link or contacting us.

We may keep a minimal suppression record after an unsubscribe request so that we can respect the request and avoid sending further marketing accidentally.

Who receives personal information?

We may share only the information reasonably required with trusted service providers, including:

  • Wix, which hosts and supports our website and online store;

  • Payment processors;

  • Delivery and postal providers;

  • Email and newsletter providers;

  • Website analytics, security and cookie-management providers;

  • Professional advisers, insurers, accountants or regulators where necessary; and

  • Public authorities where disclosure is required by law.

These organisations may act as processors or as separate controllers, depending on the service they provide.

We do not sell personal information.
 

International transfers

Some technology and service providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we will rely on an applicable adequacy decision, approved contractual safeguards or another legally permitted transfer mechanism where required.

How long we retain information

We keep personal information only for as long as it is reasonably required for the purpose for which it was collected, including to meet legal, accounting and tax obligations.

In general:

  • Order, transaction and accounting records may be retained for up to six years after the relevant accounting period, or longer where legally required;

  • Customer-service correspondence will normally be retained for up to two years after the matter is closed, unless it relates to an order, dispute or legal requirement requiring longer retention;

  • Newsletter information will be retained until the person unsubscribes or the information is no longer required; and

  • Cookie information is retained according to the lifespan of the relevant cookie, as explained through our cookie settings or notice.

We may retain information for longer where reasonably necessary to resolve a dispute, establish legal rights, prevent fraud or comply with a legal requirement.

Your data-protection rights

Depending on the circumstances, individuals may have the right to:

  • Ask for access to their personal information;

  • Ask for inaccurate information to be corrected;

  • Ask for information to be erased;

  • Ask us to restrict how information is used;

  • Object to particular uses of their information;

  • Receive certain information in a portable format;

  • Withdraw consent at any time; and

  • Object at any time to the use of their information for direct marketing.

Some rights are subject to legal conditions and exceptions.

To exercise a right, contact us using the details above. We may need to request information to confirm the requester’s identity.

Individuals may also complain to the Information Commissioner’s Office at www.ico.org.uk. We would appreciate the opportunity to address a concern first, but contacting us does not affect the right to complain to the ICO.

Candle care and safety

Candles contain a naked flame and must always be used carefully. Customers must read and follow the safety label and any instructions supplied with the individual candle. Where a candle was manufactured by another business, that manufacturer’s product-specific instructions take priority.

Always:

  • Place the candle upright in a suitable holder or container on a stable, level and heat-resistant surface;

  • Keep it away from curtains, paper, furniture, clothing, decorations, draughts and anything else that may catch fire;

  • Keep it out of the reach of children and pets;

  • Keep the wax pool clear of matches, wick trimmings and other debris;

  • Observe the stated minimum distance between burning candles;

  • Follow the stated wick-trimming, maximum burn-time and stopping instructions;

  • Extinguish it fully before leaving the room or going to sleep; and

  • Allow the candle and its container to cool completely before touching or moving them.

Never leave a burning candle unattended. Never move a candle while it is lit, burn it on or near a flammable surface, or continue using it if its container is cracked, chipped or otherwise damaged.

Containers and holders may become extremely hot during use. Stop burning a container candle before the flame reaches the bottom, following the stopping distance shown on its safety label, because excessive heat may damage or break the container.

Candles may vary slightly in colour, fragrance and finish, particularly where they are handmade or made using natural wax. This does not affect a customer’s statutory rights where a product is faulty, unsafe, damaged or materially not as described.
 


Handmade and limited made-to-order pieces

Some J4rming products may be individually handmade in small, limited batches. A product may be offered using photographs of the standard design, with a fixed number available to order, and then made after those orders have been placed.

The photographs show the intended design, style and overall character of the product rather than the exact individual piece the customer will receive. Because each piece is made by hand, small differences may occur in shape, measurements, colour, pattern, texture, glaze and finish. These natural variations are part of the handmade process and mean that every piece will be slightly individual.

We will not make changes that materially alter the product’s advertised design, purpose or character without the customer’s agreement. Significant variations, marks or imperfections known to us will be described or photographed where reasonably possible.

Each relevant product listing will state:

  • That the product is handmade and made after ordering;

  • The number available in the limited batch;

  • The estimated making and dispatch time;

  • Its approximate dimensions and materials;

  • Its intended use;

  • Relevant care and safety instructions; and

  • The types of handmade variation a customer should expect.

Unless the listing expressly offers a choice, customers will not be able to select the exact individual piece they receive.

A limited-batch item made according to one of our standard designs is not automatically a personalised item and will normally remain eligible for statutory cancellation and return rights.

The change-of-mind cancellation exception may apply where an item is made to a customer’s individual specifications or is clearly personalised—for example, with unique wording, initials, names, measurements or an individually agreed design. We will identify this clearly before the order is placed.

Nothing in this section affects a customer’s statutory rights where a handmade item is unsafe, damaged, faulty, materially not as described or unfit for a purpose agreed with us.

Product descriptions and photographs

We take reasonable care to describe and photograph products accurately.

Colours may vary slightly because of lighting, photography and screen settings. Measurements are approximate unless stated otherwise.

Vintage, handmade, pre-owned and repurposed products may contain natural variation or signs of age and use. Material imperfections known to us will be described or photographed where reasonably possible.

Prices and payment

Prices are displayed in pounds sterling and include applicable taxes where required.

Delivery charges are shown separately before checkout. Payment must be made using one of the payment methods offered at checkout.

If a price or description contains an obvious error, we may contact the customer to correct it before accepting or dispatching the order. We will not charge a different price without the customer’s agreement.

How the contract is formed

Submitting an order is an offer to purchase the goods.

An automated acknowledgement confirms that we have received the order but does not necessarily mean that the order has been accepted. The contract is formed when we send confirmation that the order has been accepted or dispatched, unless the checkout information expressly states otherwise.

If we cannot accept an order, we will notify the customer and refund any payment taken.

Availability

Many J4rming items are individual or limited-stock pieces. All orders are subject to availability.

Occasionally, an item may become unavailable after an order is submitted. If this happens, we will contact the customer and refund the affected amount.

Responsibility for the goods

The risk of accidental loss or damage passes to the customer when the goods are delivered to the customer, or to a person identified by the customer to receive them.

Ownership passes after full payment has been received and delivery has taken place.

Events outside our reasonable control

We are not responsible for delay or failure caused by events outside our reasonable control.

Where such an event affects an accepted order, we will take reasonable steps to minimise the disruption and contact the customer where appropriate. This does not affect any right to cancel where delivery cannot be made within the agreed or legally required period.

Our responsibility to customers

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or breach of statutory consumer rights.

We are not responsible for losses that were not reasonably foreseeable when the contract was made.

Goods sold through J4rming are intended for personal and domestic use unless expressly stated otherwise. We are not responsible for business losses such as loss of profit, revenue, opportunity or business interruption arising from consumer use of the website or goods.

Intellectual property

Unless otherwise stated, J4rming’s original writing, photographs, illustrations, branding, graphics and website content belong to us or are used with permission.

They may not be copied, reproduced, sold, republished or used commercially without prior written permission, except where the law permits.

Third-party links

The website may link to third-party websites, social platforms, products or services.

These links are provided for convenience or recommendation. We do not control third-party websites and are not responsible for their content, availability, policies or handling of personal information.

Where a link is an affiliate link or may generate commission, we will identify this appropriately.

Changes to these policies

We may update these policies when our services, suppliers or legal obligations change.

The latest version will be published on this page with the date of the most recent update. Changes will not reduce rights that have already arisen under an existing contract.

Governing law

These terms are governed by the laws of England and Wales.

A customer living elsewhere in the United Kingdom will retain any mandatory protections provided by the law of the part of the United Kingdom in which they live.

Proceedings may be brought in the courts of England and Wales or, where applicable consumer law permits, the courts of the part of the United Kingdom in which the customer lives.
